Welcome to the 2025 Walden Creek Wahoo Swim Team! We are excited to announce that this will be our 25th season as the Walden Creek Wahoo Swim Team!
We would love to be able to serve every swimmer to the best of our coaches abilities. Is there anything about your swimmer(s) that you would like the coaches to know that will help them best serve them?
Has your family been a part of a swim team before? *
If your swimmer has never been on a swim team, have they taken formal swimming lessons before? What swimming experience do they have?
What grade did your swimmer just complete? List name and completed grade please. *
The Walden Creek Swim Team is a 100% volunteer run organization. Outside of our coaches, we are all volunteers. In order for the swim season to happen, everyone must help out. It takes at least 58 volunteers from our team to run a home meet and at least 44 for an away meet. It takes over 350 volunteer jobs to make an entire season happen. We appreciate your willingness to help and share the responsibilities.
As part of your registration for the Walden Creek Wahoos, your family will be required to sign up for jobs to earn at least 6 volunteer points over the course of the summer swim season. These points are monitored to assure our swim team community can, together, run a successful season for our children. (These points do not carry over into following years.)
We will be splitting most of the jobs into 2 shifts again this year, so that most parents can watch at least half of every meet. Each half of meet job, will earn 1 point. A few jobs will be worth 2 points, because they will require you to serve for the entire meet. Every family will be required to earn at least 6 points, though you are welcome to earn more than 6 points! For every point over 6, your name will be entered into a raffle at the banquet to earn prizes!
MOCK MEET
We are asking all families to plan help at the Mock Meet as a way to train for future meets and help train new families. You will be assigned a job at the mock meeting according to the jobs you have signed up for throughout the season. Since this is used as training, this will not count towards your points.
You are welcome to sign up responsible teenage members of your family to fulfill jobs at the meet as well in your place or in addition to your job. We are happy to sign service hour forms if your teen needs service hours!
Before signing up for volunteer slots, please review descriptions of our jobs here: https://walden-creek.swimtopia.com/volunteer-posi...
The Wahoo Swim Team depends on parent and family volunteers to be able to offer the best summer swim experience possible. In an effort to encourage everyone to share the responsibility of the jobs at the swim meet, and also to avoid last minute scrambling on an already busy meet day, we have put together an updated Volunteer Policy. Thank you for understanding and respecting this policy.
2025 Volunteer Guidelines
All families are REQUIRED to earn at least 6 points each summer.
Volunteers must check in with the volunteer coordinator by 5:30pm on meet day.
Volunteers must remain at their post for the entire shift
Families who do not satisfy their volunteer responsibilities may be fined and jeopardize their ability to participate on the team in future seasons.
Note: There is absolutely no alcohol consumption allowed at swim meets. This is a TSA (Tar Heel Swim Association) rule. If you are found to have consumed alcohol, you will be asked to leave immediately and you will not receive any volunteer points for that meet.
** Please direct questions to the Volunteer Coordinator at [email protected] **
Thank you for understanding and supporting this policy.
In order for our coaches to be able to provide their full attention to your swimmers during practices and meets, we ask that you do not approach the coaches with questions or issues until after practice or meets are over. If you have an immediate need, please see a board member.
Thank you for acknowledging these expectations and agreeing to abide by them.
New this year, we are starting a Big/Little Wahoo Mentorship Program where an older swimmer from 13-14 and 15-18 age groups (Bigs) will be paired with a 6U swimmer (Littles) to help our youngest swimmers feel welcomed into our Wahoo family. Commitment from older swimmers includes being available to their 6U swimmer for guidance, questions, cheering on during swim meets and being their primary "catcher" at meets. We are also hoping to hold at least one Big/Little activity/craft session during the season for you to attend together. Bigs & Littles will be recognized at the End of Year Banquet.
Do you have an older swimmer who would be interested in participating in this program?
We will be in touch with more information.
Each week, coaches plan the line up for the meet based on the swimmers that have indicated that they will be present for the meet. It will be expected that you will indicate whether or not we should expect your swimmers NO LATER THAN FRIDAY prior to each meet by completing the online declaration. Swimmers who are not signed up through this process will be assumed to be absent for the event. This means your swimmer will not be entered in any main events or relays.
*You can find the sign up for the meets under the Calendar tab on the website (click the green buttons next to each event on the calendar). There will also be a link in your confirmation email. Please go ahead and sign up your swimmers for the whole summer now, if you can!
We know that emergencies happen. If something comes up, please let us know here: https://walden-creek.swimtopia.com/emergency-absen...
Every child loves to swim in a relay race. The coaches make every effort to give all swimmers an opportunity swim in a relay if they want to. Please indicate when you sign up for the meet your swimmer's availability for relays. When a child leaves a meet early (without prior notice) it means that 3 other swimmers do not get to swim in a relay.
We understand that many of our swimmers attend year round school and need to go to bed before the meet is over. If you are not able to stay for the entire meet, you must let the coaches know so that they do not plan for you.
I give permission to the Walden Creek Swim Team to photograph my swimmer. These photos could be posted (without names) on our closed "Walden Creek Swim Team Facebook group". They will also be shared in a closed Google Album to be made available for families to download and purchase (as a fundraiser for the team) copies of pictures taken. No pictures will be shared outside of our closed groups and no names will be shared with pictures.
I, the undersigned participant and parent, request voluntary participation for minor to participate in all events, which are herein after referred to as the“activities” sponsored by Walden Creek Swim Club. This agreement is valid while the participant is a member of the Walden Creek Swim Team.
I consent to my/minor’s participation in the activities and acknowledge that the minor and I fully understand my/minor’s participation may involve risk of serious injury or death, including losses which may result not only from my/minor’s own actions, inactions or negligence, but also from the actions, inactions, or negligence of others, the condition of the facilities, equipment, or areas where the event or activity is being conducted, and/or the rules of play of this type of event or activity. I understand that if I have any risk concerns, I should discuss the risks associated with my participation with the activity coordinators and event staff, before I sign this document and before any activities begins.
If you register BEFORE MAY 8, your swimmer(s) will receive a free t-shirt. If you register after May 8, you will have an opportunity to purchase a t-shirt but will not receive a free shirt.
All families will be required to volunteer throughout the summer. Sometimes life happens and something comes up to prevent you from fulfilling your commitment. If this happens, it is your responsibility to find a replacement. In order to be able to do this more easily, we would like to be able to share a phone number list with our team families. This list will be secure within our swimtopia website that requires a login to access, so it would not be available to the general public, just swim team families.
Do we have your permission to share your phone number and email address with fellow swim team families?
Fees and dues for TSA and SwimTopia have increased. This is to let you know that there will be a $5 fee added to each family to cover this cost.
