Volunteer Positions

Our neighborhood swim team simply wouldn’t work without your help! As you consider how you will volunteer this summer, here are some job descriptions to help you feel more comfortable in your position. As always, please reach out and ask questions--we are so grateful for you!

Announcer: — Announce upcoming events, scores, records, etc. TSA has a script available for guidance.

Clean Up:— Clean up volunteers stay after the meet concludes to:

  • Set up pool lounge chairs around pool
  • Clean up any trash left behind
  • Remove flags, starting blocks, lights, sponsor posters, etc.

Clerk of Course: — Organizing swimmers behind the starting blocks in the right lanes and heats. Record deviations from the original heat sheet (scratches, substitutions, lane changes, etc.) for reconciliation with timing data.

Concessions: — Run our concessions stand during the meet. With multiple people running concessions, you are able to run out and watch your child’s event.

Floater / Sub: — Substitute for absent volunteers, and temporarily relieve others as necessary.

Hospitality: — Serve water and snacks to meet officials

Kid Pusher: — Organize the kids into order according to the heat sheets and moves them to the Clerk of Course in time for their events (the chairs behind the pool).

Meet Administrator: — Responsible for entering live meet information into Meet Maestro, or on scoring pages such as Place Judge record, Disqualifications and times if used. Scores can be generated from Meet Maestro, or tabulated on traditional scoring pages

Order of Finish Judge: — Determines which swimmer finishes first, second, third, etc. This is used in case there is a discrepancy with the timers’ entries.

Ribbon Distributor:— Stands at the end of the pool and hands out ribbons to swimmers. Ribbons are not distributed for the main heat, but are handed out to all subsequent heats. The winner from each subsequent heat gets a special “heat winner” ribbon.

Ribbon Writer: — Ribbon Writers will attach "Placement" stickers for each event onto the ribbons during the meet. They are also responsible for sorting and organizing the ribbons as they are generated. This is an ongoing job during the meet, but promises the best seat in the house! Because this job is ongoing, ideally, there will be 2 ribbon writers for the first half of the meet, and 2 ribbon writers for the 2nd half of the meet.

Runner: — Picks up place judge records and DQ slips from meet officials during the meet and delivers them the Meet Administrator. If timing sheets are used, collects those and delivers to Meet Administrator.

Set Up:— Set up volunteers meet at 4:00pm (for a 6:00pm meet). Responsibilities include:

  • Hanging Sponsor Signs
  • to move chairs and tables
  • set up things for swim meet including lane lines, flags, starting blocks, tables, shade structures, and lights.

Starter:— Commands the swimmers to take their mark and signal the start of each Main Event and Heat. This position remains stationary at the starting end of the pool. Position requires training.

Stroke & Turn Judge: — Determines if each swimmer is swimming the stroke legally as defined by USA Swimming rules. It is the responsibility of the Stroke Judge to disqualify any swimmer whose stroke, start, turn, or finish is illegal. This position requires certification.

Timer: — Time swimmers in one lane, using automated timing devices and/or manual stopwatches. There will be 2 timers for each line - times are averaged to form 1 finish time. Head Timer - The head timer acts as the backup timer. They start 2 stopwatches at the beginning of each heat and if a timer has a timing issue gives them one of the stopwatches.
